Hi, Peggy and Normandy. 

If you are looking at hotel ballrooms for Saturday night, we should be coordinating that with overnight rooms for out-of-towners.  Often hotels will reduce considerably -- or even waive -- ballroom fees with a minimum number of room nights and/or food/beverage. 

Beth told me to wait to start contacting hotels re: overnight rooms but perhaps we should be talking if this is the route you are thinking about going.

 Barbara,

I have been gathering bids at hotels with large ballroom/conference room space.  The more the merrier.  Feel free to dive in and come up with some.  The feedback I am getting is that people would prefer to stay in the Plaza area.  We are aiming to solidify the venue by the end of March.  Thanks in advance for all your help.  You don't have to be in KC to join the Committee.  We can conference call you in.

I'm only bringing this stuff up since Beth was looking for a person to coordinate finding a hotel for overnight rooms and I volunteered a week or so ago. 

But if you guys are looking at hotels already (which I didn't know until just today), you should be talking to them about sleeping rooms at the same time.  One person (or committee) can handle both so that the hotel has one contact and you can negotiate the best rates for everything.  (and then there's no need for a separate sleeping room committee)

 Oh I forgot to mention that part.  I am looking at hotels with rooms available.  So far, I've said just 20 rooms, of course the more rooms the bigger the price break.  Until we can get in touch with as many out of town alumni as possible and gain an idea as to how many will actually need rooms--in any event, the hotels all seem to have easy cancellation policies with no fees attached.  I think you are definitely on the right track and don't be deterred.  The more concrete quotes we have to work with the better.  so Please carry forth. . .

I'm not looking for event locations and I haven't started looking for sleeping rooms as Beth had told me to wait.  I'm just going to bow out of this and let you guys handle it.  It will be way less confusing that way.

 I am trying to quickly get caught up on what's what w/ the various committees. Some weeks ago I spent time online and sent emails to those on the "online missing" list that I was able to find and I see at least a couple responded.

I will cross-post this reply also to the Sat event forum and other appropriate ones. Albeit not being familiar w/ the bldg Kris is offering, I think this is a hugely generous offer and "could" be the "main" event so as not to have two very similar events Fri/Sat. Maybe this space could serve as the Saturday night space?

Re: other space rentals, typically there are reduced rental rates for alum for wonderful spaces on University grounds, i.e. perhaps UMKC? Also the KC Public Library rents various halls from elegant to informal. Ditto for various museums from extremely expensive on down.

The hotel ballroom coupled w/ reduced room rates is of course a great idea and approached much like a wedding or bar mitzva in booking such deals. You might also contact the KC (or even Overland Park) Visitors and convention Bureau as they often can be of help.

Does anyone have contacts at some of the local theaters that might have space for receptions? I don't know capacity but the Folly Theater rents out, for example.

Keep in mind that those of you locals who hold memberships to various organizations with spaces might be sitting on a goldmine of a resource.

I love the Sunday brunch buffet idea. BTW, I will be trying to arrange a local book signing to coincide with the reunion weekend while I'm there, probably for Sunday afternoon, Thurs eve, or possibly even early Friday evening.

Just my five cents' worth of ideas from a distance.

Unfortunately, I am off and running on book/media tour/appearances from now thru end of April. I would be glad to help in other areas post-May 1, as I've indicated previously to Gladys. If I stumble across anything, for sure I'll let you know!
