To-do List

HALL RENTAL

  1. send in registration form (done by Gordon Jan 20. Also sent $250 damage deposit and $150 facility use fee)
  2. get key for hall from Deena at Star Gazer Campground one or two days before event (Deena says we can pick up on Saturday morning .... gordon to do this) 

EVENT DETAILS

  1. hall set up (or outside, weather permitting) for afternoon trivia mixer organized by Milo/Elaine (organizing group will set up beginning 10:30 AM)
  2. appoint emcee (Bill will do this)
  3. ask someone to say grace (Gordon/Elaine putting together a medley of songs. We will invite anyone interested in singing, to join)
  4. do we want to use excess money (hopefully we'll have some) for a school award to be presented at the fall awards ceremony (Bill has contacted Linda Kope and they will happily set something up for our extra money) 
  5. should we give opportunity for contributing more money to the school award
  6. appoint someone to be event photographer (Karen will do this)
  7. provide name tags (Karen volunteered to do this at 24 Nov/09 mtg)
  8. registration and guest book (Karen/Marj volunteered to do this at 24 Nov/09 mtg)
  9. have someone arrange to have 60's background music in the hall (June has two CD's but needs a player - Marj will bring player)
  10. sound system (Bill has booked the Legion sound system for $35 rental fee)

HALL USE

  1. who opens and closes the hall
  2. bring drinking water - water there is not potable (Gordon and Karen will bring 5 gal jugs for making coffee and for drinking)
  3. set up tables and chairs (organizing group to come to hall about 10:30 to set up)
  4. bring fire wood Vic Wiens told Elaine (May 11) he would be able to supply all the firewood we need - lives close to the reunion site.   
  5. clean up hall, take down tables and chairs (organizing group with volunteers)
  6. who supplies garbage bags (Gordon will bring)
  7. provide coffee/hot chocolate for campfire (Marj will bring)

CATERER

  1. confirm with Margaret that kitchen is suitable (yes she's catered there before)
  2. who cleans up the kitchen (margaret except for any mess after she leaves)
  3. what hours will Margaret be there (early aft until end of supper cleanup) 
  4. confirm catering expectations with Margaret (Gordon talked with Margaret June June 23 to advise her that we have 61 confirmed  ... should prepare for 65)
  • time that afternoon snack/punch will be available (3 PM, hot and cold beverages, fruit cheese trays)
  • who supplies cutlery, plates, cups, (Margaret will supply all - will be throw away stuff)
  • who supplies table cloths (Karen will provide)
  • does Margaret bring her own coffee pots or use those belonging to the Hall (use the Hall equipment)
  • exactly what will the supper menu be (roast beef, mashed potatoes, mixed veggies, buns, ceasar salad, brocolli salad, pickes and olives, horseradish, condiments, two dessert triffles
  • what will be the cost including GST for her services ($15 pp, no minimum)

SCHOOL TOUR

  1. get permission from school (Jim said has talked to the principal, OK ... Apr 9)
  2. who will lead the tour  (Jim said he will do this ... Apr 9) (Jim says that we should meet at the north door where the parking lot now is)

PURCHASE ITEMS

  1. table cloths, napkins, drinking glasses, cream and sugar (Karen will buy)
  2. styrofoam cups (gordon will bring)
  3. prizes for trivia game and for door prizes (Elaine will contact Karen to discuss)
