BOARD MEETING MINUTES
AUGUST 8, 2023
- The meeting was called to order at 8:00 a.m. MST by Borgwardt.
- Proof of meeting notice acknowledged. Present: Roger Borgwardt, president, Steve Patton, vice-president, Jean Mills, secretary, Sheryl Brown, treasurer, Jeff Coughlin, director-at-large, and Cheri Maniz, manager.
- It was moved by Patton and seconded by Coughlin to approve the minutes of June 13, 2023. Motion passed.
- Owner Concerns: None.
- It was moved by Mills and seconded by Coughlin to approve the treasurer’s report. Motion passed. The Board will schedule a long-term capital planning meeting in mid-December.
- Manager’s Report. A. A new motion sensor light has been installed in the clubhouse. B. The SRP monthly bill increased by $300.00. After we receive the next bill, we may consider paying SRP to do a meter audit. The clubhouse’s main floor is kept at 84 degrees. The pool room must be kept at 80 degrees for the benefit of the tables. Remote thermostats may be considered.
C. The front door lock of the clubhouse needs repair again. The doors may need to be replaced if the repair is not satisfactory.
D. A-5 reports a possible rat in the ceiling. This is being addressed.
- Landscape.
A. With the extreme heat, all plants are stressed. B. The monthly service fee from Green Keepers will increase by $160.00. The cost in 2024 will be $5360.00. C. The committee will put the over-seeding out for competitive bids. It was moved by Patton and seconded by Coughlin to spend $800.00 for overseeding. Motion passed.
D. Marilyn Weinreich has recounted and re-mapped all the palms. We officially have 110 palm trees.
- Buildings.
A. The Board will not sign a contract with Riteway Roofing for inspection as it is not cost effective. B. It was moved by Coughlin and seconded by Brown to approve $3500.00 for roof repair in Phase IV. Motion passed.
C. Quotes are being solicited for repairing the ceiling and wall by the clubhouse front door.
D. #65 – roof has been repaired.
E. #69 – partial sidewalk repair completed.
- Committee.
A. Up to $500.00 in pool repairs can be authorized without Board approval through the Manager’s office.
B. The resurfacing company which recently finished work on the North pool will be contacted regarding warranty work on the crumbling grout line.
C. The re-strapping of the remaining discolored pool chairs will be addressed in the 2024 budget.
- Unfinished Business.
A. CC&Rs – after Board input, Mills will finalize the update with the Mulcahy Law Firm. B. The updated Reserve Study is a “living document” which is useful in our long-range planning.
C. The North pool gazebo ridge caps have been replaced.
D. It was moved by Patton and seconded by Coughlin to have Mulchay Law Firm evaluate our current Bylaws at a cost not to exceed five (5) hours. Motion passed. This is necessary so that all items reflect the updated CC&Rs.
- New Business. Maniz may take one day to attend the trade show in Phoenix to get information from different insurance and painting companies.
- For the Good of the Order. Patton has made an inventory spreadsheet of all our fire extinguishers which includes the building number, floor, location, lock, size, date manufactured, and date of refilling.
- The next meeting will be September 12, 2023, at 8:00 a.m. MST.
- Tentative meeting dates: all second Tuesdays at 8:00 a.m. MST.
- Annual Meeting: February 20, 2024, at 6:00 p.m. MST.
- It was moved by Patton and seconded by Mills to adjourn at 9:56 a.m. MST.
