BOARD MINUTES

JANUARY 11, 2022

 

  1. The meeting was called to order at 8:34 a.m. MST by Borgwardt.

  2. Proof of meeting notice was acknowledged. Recent: Borgwardt, Patton, Brown, Mills, Maniz, L. Hain and J. Coughlin.

  3. It was moved by Patton and seconded by Brown to accept the minutes of December 7, 2021. Motion passed.

  4. Owner concerns. None.

  5. It was moved by Mills and seconded by Patton to accept the treasurer’s report. Motion passed.

      VI.          Manager’s Report    :

  1. It was moved by Patton and seconded by Brown to approve a landscape 

contract with Great Western. Motion passed

  1. BrightView will be asked for further clarification of irrigation information. 

  2. Maniz will check with Great Western to see if that information is sufficient for them when they take over our landscaping.

  3. Owners of units which had inside damage from roof leaks were asked to contact their insurance companies.

  4. Unit 33 request denied.

  5.  It was moved by Brown and seconded by Mills to decommission and get rid of the two natural gas grills outside the south pool and to move one of the propane grills from the north pool to that location with the propane to be supplied by the HOA. Motion passed.

  1. Unfinished Business

  1. There will be an OSHA walk through of our roofing project this week to set any 

      priorities.

B.  Fitness Center: new dumbbells and a rack have been purchased. A new bike and

      an elliptical stepper will be purchased.

C.  Our new directional signs are being purchased. We will need to hire someone  

      for their installation.

D. Borgwardt will speak with installers of our new outside conduit to ask about    

     their use of sheetrock anchors and paintable silicone.

E.  Boxes for owners to discard old TV equipment will be in the clubhouse. Owners

      should put their unit number on their equipment and check their name off the 

      list.

  1. A clean out of the storage room will be scheduled for a Saturday morning after

coffee.

  1. On Saturday, January 29, 2022, Jose Montalvo will host a second coffee hour to answer all questions regarding TV service.

  2. Preparation of the Annual Meeting packets will be completed by January 15,2022. It will include an age verification form which is required by HUD every two years.

  1. New Business

A.  Landscaping contract – approved.

B.  BrightView will be asked to pick up their final check in the office after  

      discussing and providing a key to their landscape maps.

C.  Grading: we will request that the gutter man and landscapers meet to discuss 

      common issues before any work starts.

D.  It was moved by Patton and seconded by Mills to spend $5250.00 as a capital 

      expense to be paid to Great Western Landscape Mgmt (sic), LLC to add French  

      drains, fix erosion, grade and add river rock drainages through the property, 

      but particularly at buildings 2 and 6, using a 5-man crew working 8 hours each

      day for three days. Motion passed.

E.  It was moved by Mills and seconded by Brown to update our 2022 budget to

      reflect the added expense of the new landscaping company. Motion passed.

  1. PayHOA has sent notice of a $1.00 month user fee. It was moved by Patton and seconded by Brown to have the HOA absorb the cost for now. Motion passed. 

  2. We have not received the cost estimate for gutter work from Paul, a sub-contractor of ProWest. Coughlin and Paul have surveyed our needs. Any new drains must be installed first. Paul suggested that basins need to be cleaned out, more river rock put down, and he would need to work with landscape crews. He could not begin any work before March.

  3. It was moved by Patton and seconded by Mills to spend $625 for regrouting all tile and replacing one tile at the clubhouse entry unless a bid for complete replacement is under $2500.00. Motion passed.

  1. For the Good of the Order

  1. The officers for the Social Committee are Raejean Warren, president, Donna Patton secretary, and Evelyn Arnot, treasurer. All are invited to attend the open meeting in the library after coffee the first Saturday of the month.  Upcoming events: January 15, Spuds and Splits (free will offering), February 6, Simply Elegant Champagne Brunch, March 5, Usery Park Picnic, and March 17, St. Patrick’s Day party in the green space.

  2. Maniz will send an E-Bulletin to owners/renters as a reminder that there are to be no containers on patios walls, no bird feeders placed on a common area, all guests must be registered and accompanied by the owner to the pool area and exercise room and, by order of the fire department, no furniture or other items should be left on the landings as that is common space.

  1.  The next board meeting will be February 8, 2022, at 8:30 a.m. MST in the library.
