BOARD MINUTES

SEPTEMBER 29, 2020

 

  1. The meeting was called to order at 8:41 am MST by Hayward.

 

  1. Proof of meeting notice was acknowledged.                                     Present: Hayward, Mills, Patton, Brown, Borgwardt, and Gurule.                                                Guest: Honeyman, 2035, Lanphere, 1044, Rettig, 35 and Kingsley-Anderson, 63, and David Gomez of Clean Cut (Bright View).

 

  1. It was moved by Borgwardt and seconded by Brown to approve the regular board minutes of August 11 and the executive session of September 6, 2020. Motion passed.

 

  1. Owner Concerns:  Request for door painting by the HOA for 2001 denied. Owner will be provided the paint.

 

  1. It was moved by Mills and seconded by Borgwardt to accept the treasurer’s report. Motion passed.

 

  1. Manager’s Report. Resolved action report per item IV.

 

  1. Unfinished Business

 

  1. Our dumpsters have either been replaced or painted with new lids added.
  2. The annual audit has still not been completed. Gurule is instructed to call and find out what we can expect it to be finished.
  3. New carpeting for Phase 2 2041-2044 has been installed.
  4. Per board policy, the dead saguaro at 29 will not be replaced.
  5. Landscaping/Irrigation. David Gomez addressed the complaints regarding a lack of water in many areas and overgrown vegetation. He stated that although extra crews would be hired to do the trimming in all phases within two weeks, the sidewalk trimming would be done this week. He must check on and notarize that areas have been fixed. Gomez is requested to give weekly reports to the interim property manager and Borgwardt.

 

  1. New Business

 

  1. Issues revolving around pool aerators have been resolved.
  2. Staining of pool chairs is difficult to remove. An effective productive is being sought. A pressure washed will be used.
  3. The resignation of Minnie Jo Gurule, VAW property manager, was accepted in executive session September 6, 2020. Her last day will be October 2, 2020. The board presented her with a bouquet in thanks for her many years of service and wished her well in her new job.
  4. The board has updated the manager’s job description.
  5. Notification of the manager’s position and a request for owners to volunteer to serve on the search committee were put on the website. Six owners applied. In individual votes, the following three have been named to the committee:  Lee Hain, 1028, Kathleen Kingsley-Anderson, 63 and Renee Rettig, 35.
  6. The manager’s position has been posted on Criagslist for a 45-day period.
  7.  To date, we have received 25 inquiries.
  8.  It was moved by Mills and seconded by Borgwardt to hire Donna Honeyman, 2035, as interim property manager.
  9. Seasonal owners: due to COVID, a decrease in residence is expected this winter.
  10. 2021 Board Elections: two positions will be open. Three-year terms are up for Mills and Brown. Any owner wishing to serve on the nominating committee should submit his/her name to the board.
  11. The VAW will follow Arizona COVID recommendations, acknowledging that individuals are responsible for their own behaviors in wearing masks, social distancing and hand washing.
  12. Any owners who want to attend a board meeting by Webex should contact Steve Patton so that they can be added to the invitation list.
  1. For the good of the order: complaint about multiple dogs in one condo will be investigated. We are a non-pet facility with a special policy on service and comfort dogs.
  2. The next board meeting will be October 27, 2020, at 8:30 am, MST.
  3. The meeting adjourned at 10:42 am MST.
