BOARD MEETING MINUTES

APRIL 5, 2022

 

 

  1. Meeting called to order at 8:32 a.m. MST by Borgwardt.
  2. Proof of meeting notice acknowledged. Present: Borgwardt, Patton, Brown, Mills, Coughlin and Maniz. Guests: #42 Thompson, #31 Weinreich, and B007 Mathieu.
  3. It was moved by Brown and seconded by Patton to approve the minutes from March 29, 2022. Motion passed.
  4. Owner Concerns: reminder that owners are responsible for all condo doors and windows and that pre-approval is needed for installation of any new ones.
  5.  It was moved by Mills and seconded by Patton to approve the treasurer’s report. Motion passed. There is $312,000 in our reserve account.
  6. Manager’s Report - Part I

A. It was moved by Patton and seconded by Coughlin to approve $475.00 for hh Pool Service and Repair, LLC to remove sand in the north spa filter, inspect laterals and install glass media for better longevity. Motion passed.

B. Owners are to provide the name of their caretakers to the office.

C. Reroofing of flat roofs in Phase I and building 1 will be covered by insurance.

Landscape Committee Report. The Board appreciates and thanks the committee for their diligent work and comprehensive report. The Board will address the various sections in future meetings and requests written and oral committee progress reports.

It was moved by Mills and seconded by Brown to approve $8,550.00 for the planting of 25 trees on May 30, 31 and June 1, 2022, and to rescind any formerly approved unspent landscaping funds. Motion passed. No trees are to be planted near the south pool.

 

 

 

Manager’s Report – Part 2.

D. To use the pools, spas, clubhouse or exercise equipment, a guest must be registered.

E. #2020, request denied.

F. #2003, request denied.

G. We have had no response to our RFP for a CPA.

H. #1039: The CC&Rs must be enforced. Article XIII, Section 13.14 spells out the age restriction. When a person who is not the surviving spouse becomes an heir, they must register a deed in Arizona in their name to be considered an owner and our age restriction applies. In the Rules and Regulations from April 6, 2021, “guests” are defined as “a person or persons residing with the owner or a lessee of a unit” rent free. There are four limitations on guests, but one states that ‘A guest that occupies a unit without the presence of the owner must register at the office and provide the CAM (Manager) with the length of their occupancy and verification of their age (55+) by government issued ID.

I. It was moved by Mills and seconded by Patton to rescind our Covid-19 policy.

J. B007 – referred to our attorney, Dan Curtis.

K. With Board approval, security devices used exclusively for security purposes, shall be located, used or placed on the Condominium

Property. (CC&Rs, Article XIII, Section 13.3).

  2. Buildings Report.

Coughlin is working on a planned maintenance schedule. Lee Hitchcock, #1039, and Roger Spencer, #25, will assist with building monitoring, especially during Board members absence.                   Water downspout extensions will be installed in areas most affected by monsoon rains in the past. The 2023 budget will provide for other related issues.

The only approved colors for the VAW are Navajo White (buildings and pool fences), Brown Tepee (wrought iron), and Buffalo Herd (doors and trim). Specific formulas are noted on the paint can lids we have.

  1. Unfinished Business – roof work, CPA - addressed in manager’s report.
  2. New Business.
  3. A. The pool and spa covers will be cleaned. When work is done on the north pool and spa, they will be moved into storage. The south pool spa cover has a rip in the seam and cannot be repaired.

B. The old gas grills outside of the south pool ramada fence have been removed and one of the propane grills from the north pool has been moved to the south pool .

C. The Social Committee is working on a welcoming packet for new owners. Raejean Warren chair, has developed an insurance guide for new owners regarding their HO6 owner policy which will be included in the packet.

  1. The next meeting will be by zoom on May 10, 2022, at 8:30 a.m. MST. Other regular board meetings will be held at 8:30 a.m. MST in 2022 on July 12, September 20, November 8, November 29 (Budget), December 13, and in 2023, January 10, and February 14.
  2. The Annual Meeting will be held February 21, 2023, at 6:30 p.m. MST.
  3. It was moved by Patton and seconded by Mills to adjourn the meeting at 11:30 a.m. MST.
