BOARD MEETING MINUTES

FEBRUARY 8, 2022

 

  1. The meeting was called to order at 8:26 a.m. MST by Borgwardt.

  2. Proof of notice of meeting was acknowledged. Present: Borgwardt, Patton, Brown, Mills, Maniz, L. Hain ad J. Coughlin.

  3. It was moved by Brown and seconded by Mils to approve the minutes of January 11, 2022. Motion passed.

  4. Owners Concerns: none.

  5. It was moved by Mills and seconded by Patton to approve the treasurer’s report. Motion passed.

  6. Manager’s Report:                                                                                             A. It was moved by Mills and seconded by Brown to pay $3600 to Master Rooter for emergency service on a broken water valve. Motion passed.

B. Requests: #9 denied; #30 approved.

C. We will pay $450 for twice yearly preventative maintenance on fitness equipment instead of paying quarterly.

D. The tile for the walkway into the clubhouse will be replaced when the weather warms up.

E. The clubhouse WiFi will be changed from Cox to Century Link today, February 8, 2022.

F. An on-site Reserve Study is deferred at this time.     

     VII.     Unfinished Business:                                                 

  1. We are awaiting response from our insurance company regarding additional repairs related to the storm damage.

  2. Fitness Center – new elliptical and stationary bicycles will be ordered.

  3. Sun Desert Technologies’ technicians are continuing to service owners this week.

  4. We will need to purchase posts for our new signs. We will request and pay our landscaping company to install them. Before installation, we need to have the placement of underground wires checked.

  5. Preparation for the annual meeting has been completed. To cut down on the cost of copying and mailing materials to owners, we will discuss placing all future annual meeting information online.

  1. New Business: 

  1. J. Coughlin will speak with a civil engineer from Mesa City or Maricopa County regarding underground drainage issues on our property.

  2. Prior to making any decision regarding trenching, new gutters, downspouts and water run-off areas, a meeting will be set up with Patton, Coughlin, Chris Kinney, roofer, Paul Rodriguez (Energy Conservation Specialist and Kinney sub-contractor), and Cole Kemp, of Great Western Landscaping to discuss and prioritize work to be done. Buildings 2, 5 and 6 will be given first consideration.

  3. Although we have received a termination letter from Travelers Insurance, our agent Ross Troost will plead our case to their underwriters. We should have an answer in time for our March meeting. Borgwardt has been approached by another agent who wants to bid on our insurance.

  4. We are looking for a new CPA firm. 

  1. For the Good of the Order:

  1. Paintable silicone and sheet rock anchors were used on our new         conduit. 

  2. All monthly and annual meeting minutes have been organized by      date and stored in a single box in the large, locked library closet. By law, all HOA minutes must be saved forever.

  3. HOPA law (Housing for Older Persons Act) is a 1995 amendment to Title VIII of the Civil Rights Act of 1986. As a 55+ community granted an exemption from liability for familial status discrimination., we must 1) have at least 80% of our units with at least one occupant who is 55 years of age or older; 2) publish and adhere to policies and procedures that demonstrate the intent to operate as “55 or  older” housing and 3) comply with HUD’s regulatory requirements for age verification of residents.

  4. The Phase I pressure reduction valve has been installed.

  5. The new concrete step is here and will be installed. 

  6. The annual HOA meeting will be held on February 15, 2022, starting at 6:00 p.m. MST in the clubhouse and online. The reorganization meeting will follow immediately.

  1. The next regular board meeting will be held March 8, 2022, at 8:30 a.m. MST.

It was moved by Mills and seconded by Brown to adjourn the meeting at 10:30 a.m. MST.
