THE MEETING WAS CALLED TO ORDER AT 8:32 AM BY HAYWARD.
- PROOF OF NOTICE OF MEETING WAS ACKNOWLEDGED. PRESENT: HAYWARD, MILLS, BORGWARDT, BROWN, PATTONAND GURULE. GUEST: #1044, LANPHER, #1030 BENTTINE.
- IT WAS MOVED BY BORGWARDT AND SECONDED BY BROWN TO APPROVE THE MINUTES OF APRIL 14, 2020. MOTION PASSED.
- OWNER CONCERNS: THORCOMM – GURULE WILL CALL GEORGE DIRECTLY REGARDING SERVICE TO #38 AND #46. THORCOMM HAS NOT RESPONDED TO ANY OF THEIR CALLS. REPAIRMEN MAY NOT BE BEING SENT OUT DUE TO RESTRICTIONS CAUSED BY COVID-19 PANDEMIC.
- REPAIRS TO DAMAGED SOFFITS AND FASCIA WILL COMPLETED WHEN MATERIALS BECOME AVAILABLE.
- THE POOL IS TENTATIVELY SCHEDULED TO RE-OPEN ON MAY 15. IT IS DEPENDENT ON RULES FOR SEMI-PRIVATE POOLS AND THE GOVERNOR’S DECISION.
- UNFINISHED BUSINESS:
- CLUBHOUSE SHINGLE REPLACEMENT HAS BEEN COMPLETED; REPAIR OF CEILING LEAK BEGINS TODAY.
- DOWNSPOUT COLOR EXTENSIONS WILL BE CHOSEN AND INSTALLED IN THE FALL.
- LANDING CARPETING BETWEEN 3013 AND 3014 HAS BEEN REMOVED BY OWNER #3013. CONCRETE IN GOOD SHAPE. OWNERS MAY REQUEST BOARD APPROVAL TO REPLACE CARPET AT OWNERS’ EXPENSE.
- IT WAS MOVED BY MILLS AND SECONDED BY BORGWARDT TO ACCEPT THE RFA SENT TO BOARD MEMBERS FOR SECURING PHASE I ROOFING BIDS. MOTION PASSED. THE 3-YEAR PROJECT WILL COVER 2 ROOFS IN EACH YEAR, 2021, 2022, 2023. BIDS FOR THE 3-YEAR PROJECT SHOULD BE RETURNED TO THE VAW BY SEPTEMBER 2020.
- IT WAS MOVED BY MILLS AND SECONDED BY BROWN TO HAVE COPPER SKY REPAIR THE SOUTH POOL CRACK, RESEAL AND PAINT. MOTION PASSED. GURULE WILL TALK WITH COPPER SKY ABOUT THE TIMING OF THE WORK FOR FALL 2020. AS SUGGESTED POOL MAINTENANCE IS RECOMMENDED EVERY 2-3 YEARS, THE SEALING AND PAINTING OF THE NORTH POOL WILL BE SCHEDULED FOR 2023.
- PHASE 1 POWER WASHING, CRACK SEALING AND PAINTING HAS BEEN COMPLETED FOR $9900, WHICH WAS PAID FOR IN TWO INSTALLMENTS.
- NEW BUSINESS:
- AFTER RE-READING THE ENERGY POLICY FORMERLY CREATED BUT NOT ADOPTED, IT WAS MOVED BY PATTON AND SECONDED BY BORGWARDT TO ACCEPT THE POLICY. MOTION PASSED.
- IRRIGATION. BORGWARDT WILL CONTACT DAVID TO FIND OUT WHY THE NEW SYSTEM DID NOT TURN OFF THE VALVE WHEN THERE WAS A LEAK.
- RECORDS PROJECT. MILLS AND GURULE ARE COMPUTERIZING ALL WRITTEN OWNER REQUESTS FOR CHANGES AND SERVICES FOR THEIR PROPERTIES. PHASES I AND IV HAVE BEEN COMPLETED.
- FINANCIAL PLANNING. WE HAVE 3 CDs COMING DUE; 2 MATURE ON MAY 30 AND 1 ON AUGUST 4. IT WAS MOVED BY BORGWARDT AND SECONDED BY MILLS TO HAVE BROWN RENEW THE FIRST 2 WITH AN ELEVEN MONTH TERM AT 1.143% INTEREST. MOTION PASSED.
- FOR THE GOOD OF THE ORDER.
- GURULE WILL SCAN “LEGAL BRIEFS’ FROM MAXWELL & MORGAN SO BOARD MEMBERS CAN READ ABOUT USING EMAIL FOR VOTING. PATTON WILL WORK ON SETTING THIS UP.
- GURULE WILL CHECK WITH THE CITY OF MESA ABOUT REPLACING OLD DUMPSTERS AND HAVING UPDATED GARBAGE SIGNS ON THEM. IF AN OWNER IS DOING A MAJOR RENOVATION PROJECT, HE SHOULD ARRANGE FOR HIS OWN DUMPSTER FOR THE DEBRIS.
- THE RESERVE STUDY SHOULD BE UPDATED EVERY 5 YEARS. WE NEED TO LOOK AT THIS NEXT YEAR. WE NEED TO GET A QUOTE FROM THE COMPANY WHICH DID THE LAST STUDY.
AN IN-DEPTH ANALYSIS OF INFRASTRUCTURE IS NEEDED.
- RENTERS EMAIL ADDRESSES AS WELL AS NEW OWNERS EMAIL ADDRESSES WILL BE FORWARDED TO THE WEBSITE COMMITTEE TO INVITE THEM TO JOIN THE VAW GROUP.
- THE NEXT BOARD MEETING WILL BE TUESDAY, JUNE 23, 2020, AT 8:30 AM MST.
