BOARD MINUTES
OCTOBER 27, 2020
- Call to order at 8:39 MST by Hayward.
- Proof of meeting notice acknowledged. Present: Hayward, Patton, Mills, Borgwardt, Brown and Honeyman. Guests: Kingsley-Anderson, #63, Rettig, #35.
- It was moved by Patton and seconded by Brown to approve the minutes of September 29, 2020. Motion passed.
- Owners Concerns: None.
- It was moved by Mills and seconded by Patton to approve the treasurer’s report. Motion passed.
- Community Association Manager (CAM) Selection Committee Report given by Kingsley-Anderson. Thirty candidates were considered. Two candidates were recommended to the board and their interviews will be November 12, 2020, starting at 9:00 am MST. Honeyman and the committee will arrange for the background checks prior to the interviews.
Letters of invitation will be sent to the two candidates stating that a starting date of December 1, 2020, is preferred.
The committee of Kinglsey-Anderson, Rettig and Hain are thanked for their thorough work on this project.
- Manager’s Report – Honeyman provided a detailed report on her work to date.
- It was moved by Borgwardt and seconded by Patton to approve spending $464.02 to replace 16 assorted plants. Motion passed.
- It was moved by Patton and seconded by Borgwardt to spend no more than $3000 to install a pressure control valve on the Phase 4 meter. Motion passed.
- The board will review a request for foundation painting at #69.
- Borgwardt will handle the request for some painting of A/C lines and to plant a tree at #46 for $344.42.
The board has a tree replacement policy. If this is an additional owner request, however, it would require the owner to get the board’s pre-approval for a specific tree and to pay for its installation in an area that already has an irrigation line.
- Dogs are approved in the following condos: A007, 1041, 31, and A004.
- Railing inspection on common property is done by the manager. Owners should check their patio railings and alert the manager to any issue.
- To more efficiently regulate the thermostat in the clubhouse, a locked cover will be installed.
- Owners are reminded to wear masks, socially distance and use frequent hand washing to lessen the opportunity for the spread of COVID which is in our area.
- Bi-monthly sweeping of our parking lots cost $996 per year.
- Western Exterminators will be asked for the exact locations of areas of cracks and crevices needing sealing.
- Bicycles are not to be stored on a patio.
- The annual meeting of the VAW will be held Tuesday, February 16, 2021, depending on the COVID pandemic. Elections will be held regardless.
- The manager and treasurer are tracking down a few late payments so the books can be straightened.
- Unfinished Business
- Brite View has been very responsive in handling issues involving landscaping and irrigation.
- South pool repairs were completed in September. North pool tile replacement is being completed now.
- The audit report has been signed.
- Concrete downspout splashpads will be installed later this year.
- Roofing, Phase 1 project – Roger and Martin will continue discussion on this 3-year project.
- New Business – None
- The next board meeting will be November 10, 2020, at 8:30 am MST. Topics to discuss include the 2021 budget and capital projects.
- The meeting was adjourned at 10:50 am MST.
