BOARD MEETING MINUTES

PRESENT: HAYWARD, MILLS, BROWN, BORGWARDT, HUBBS, GURULE

  1. MEETING CALLED TO ORDER AT 8:30 AM BY HAYWARD.
  2. PROOF OF NOTICE OF MEETING ACKNOWLEDGED.
  3. KITCHEN REFURBISHING UPDATE: PEGGY BORGWARDT SPOKE FOR THE COMMITTEE CONSISTING OF HERSELF, BARB ERIE, EVELYN ARNOTT, DONNA MARTINSON AND SHIRLEY MENACHER. AFTER LOOKING AT APPLIANCES IN LOWES,  HOME DEPOT AND SPENCERS, THE COMMITTEE RECOMMENDED PURCHASING SLATE COLORED GE 30” RANGE AND SELF-CLEANING DOUBLE OVEN WITH HOOKUP CORD ($999), 28.5” FRENCH DOOR WITH BOTTOM FREEEZER REFRIGERATOR (N0 WATER DISPENSER OR ICE MAKER) $1950, 2.2 CU FT COUNTER-TYPE MICROWAVE ($378), AND RANGE HOOD ($365)  FROM SPENCERS AS THEY HAVE THE BEST BLACK FRIDAY PRICES, APPROXIMATELY $4100. SPENCERS WILL ALSO CHARGE $5 PER APPLIANCE FOR REMOVAL. OF 3 APPLIANCES. HUBBS WILL CHECK TO SEE IF HE CAN GET A BETTER BUILDER PRICE AT SPENCERS. WE PLAN TO DONATE 2 OLD MICROWAVES TO SUNSHINE ACRES.                                                                                                                            A BROOM CLOSET NEXT TO THE REFRIGERATOR IS A PRIORITY. COST/TYPE/BUILDER TO BE DETERMINED.                                                                                                  OTHER QUOTES WERE $3074.40 FOR KITCHEN COUNTERS (F0RMICA) AND 3 COUNTERS IN HALL FROM COUNTERTOPS BY HOMEWORK BY MIKE ARBUCKLE AND $2700 FOR CABINET PAINTING (BRUSH) BY NED STUEVE. THEY ARE HOPING TO RECEIVE A QUOTE FROM LGM PAINTING TO SPRAY PAINT THE CABINETS. ANOTHER POSSIBLE OPTION IS CABINET REFACING.
  4. BRIAN MARQUEZ FROM THORCOMM ATTENDED BY TELECONFERENCE TO ADDRESS THE ONGOING DIRECT TV ISSUES. MARQUEZ AGREED TO PROVIDE IN WRITING TODAY (11-19-2019) TO GURULE THE VARIOUS ORAL AGREEMENTS HE MADE DURING THE MEETING REGARDING A GUARANTEE OF 24-HOUR ACKNOWLEDGEMENT OF A CALL, 48-HOUR TECH CALL SCHEDULE TO COMPLETE SERVICE, REWIRING, WEEKEND SERVICE CALL BACK, ETC. FAILURE TO ADDRESS THIS AS PROMISED COULD RESULT IN THE VAW SEEKING LEGAL ACTION TO BREAK ITS CONTRACT WITH THORCOMM.
  5. IT WAS MOVED BY BORGWARDT AND SECONDED BY HUBBS TO ACCEPT THE MINUTES OF OCTOBER 9, 2019. MOTION PASSED.
  6. OWNER CONCERNS: THORCOMM
  7. IT WAS MOVED BY MILLS AND SECONDED BY BORGWARDT TO APPROVE THE TREASURER’S REPORT OF 10-31-2019. MOTION PASSED. OUR LARGEST EXPENSES ARE LANDSCAPING AND REPAIRS. TAKING THE TOTAL BUDGETED AMOUNTS FOR LANDSCAPING AND TV AND DIVIDING BY 170 SHOWS THAT EACH CONDO OWNER PAYS $382 PER YEAR ON LANDSCAPING AND $380 PER YEAR FOR TV. OUR TV CONTRACT EXPIRES 1-16-2022. WE WILL NEED TO REVOTE ON THE FUTURE OF HOA-SPONSORED TV.                                                                                                                            THE BOARD AGREED TO HOLD A SPECIAL MEETING ON THE BUDGET ON NOVEMBER 27, 2019, AT 9:30 AM.
  8. MANAGER’S REPORT                                                                                                                  ISSUES AT B9 AND B12 HAVE BEEN ADDRESSED. SUN STATE SWEEPING WHICH GIVES US SERVICES EVERY OTHER MONTH WILL INCREASE THEIR COST ABOUT $9.00 TO $166.42 PER VISIT. THE CITY OF MESA HAS TURNED OFF 2 METERS IN PHASE 4 WHICH WERE NOT NEEDED.  
  9. UNFINISHED BUSINESS                                                                                                                THE COSTS TO REPLACE THE 5 AC UNITS AT THE CLUBHOUSE, DEPENDING ON THE SIZE OF THE UNITS, HAVE BEEN ESTIMATED AS FOLLOWS:  3.5 TONS, $27,000; 4 TONS, $28,000; AND 5 TONS, $30,500. THERE WOULD ALSO BE A COST FOR ELBOWS, ETC. OF ABOUT $1260 AND $150 FOR THE CRANE. WE WILL WAIT UNTIL NEXT MARCH TO MAKE ANY DECISION ON THIS ISSUE.                                                                        THE STOCKTON MARQUEE SIGN IS BEING REBUILT. PHASE 1 HAD 72 PLANTS INSTALLED. MILLS IS WAITING FOR A RESPONSE FROM MAXWELL & MORGAN REGARDING A DATE TO DISCUSS THE UPDATING OF OUR BYLAWS.
  10. NEW BUSINESS.                                                                                                             THERE WIL BE ONE POSITION OPEN ON THE BOARD. THE ANNUAL MEETING WILL BE THE THIRD TUESDAY OF FEBRUARY ON THE 18TH. REPRESENTATIVES FROM THE BOARD’S INSURANCE PROVIDER AND A HOMEOWNER PROVIDER WILL BE IN ATTENDANCE TO PRESENT THEIR RESPONSIBILITIES AND ANSWER OWNER QUESTIONS.  WE ARE NOT EXPECTING ANY INCREASE IN OUR INSURANCE PREMIUM NEXT YEAR.        
  11.  IT WAS MOVED BY BORGWARDT AND SECONDED BY MILLS TO APPROVE THE EXPENDITURE OF $4100 FOR KITCHEN APPLIANCES. MOTION PASSED.
