BOARD MEETING MINUTES
JUNE 13, 2023
I. The meeting was called to order at 8:00 a.m. MST by Borgwardt.
II. Proof of meeting notice acknowledged. Present: Roger Borgwardt,
president, Steve Patton, vice-president, Jean Mills, secretary, Sheryl
Brown, treasurer, Jeff Coughlin, director-at-large and Cheri Maniz,
manager. Guest: #36, Kathy Kingsley.
III. Solar for Non-Profits. Kathy Kingsley discussed some solar options that
might be put on carports to save us money.
It was moved by Mills and seconded by Brown to have Ms. Kingsley
more thoroughly explore these solar ideas and report to the board by
the November board meeting. Motion passed.
IV. It was moved by Brown and seconded by Patton to approve the
minutes of May 9, 2023. Motion passed.
It was moved by Brown and seconded by Patton to approve the
minutes of May 23, 2023. Motion passed.
V. Owner concerns. None.
VI. It was moved by Mills and seconded by Coughlin to approve the
treasurer’s report. Motion passed.
VII. Manager’s Report.
It was moved by Mills and seconded by Coughlin to Pay Platinum Pools
$756.00 to patch the North pool deck spots. Motion passed.
It was moved by Coughlin and seconded by Mills to approve the
Flatiron Electric bid of $10,659.00 for new meter boxes with half that
amount to be paid now and the balance due after January 1, 2024.
Motion passed.
It was moved by Mills and seconded by Brown to hire Castle Floors to
recarpet landings in Buildings 2 and 4 at a cost not exceeding $5500.00.
Motion passed.
VIII. Landscape. We will not aerate the green space at this time. We have
had about $700.00 of irrigation repair expenses in the green space.
IX. Buildings.
#1041 – HOA will have the water valve changed.
Carports are an HOA responsibility.
It was moved by Coughlin and seconded by Brown to have the North
pool gazebo ridge cap repaired with shingles we already have. Motion
passed.
X. Committee Reports.
We are waiting for Mulcahy Law Firm to send us a preliminary draft of
our CC&Rs.
The new Reserve Fund Executive Summary is in the documents folder
on PayHOA for owners to read.
Legal information from zoom meeting:
In forming a much-needed written Architectural Guideline for the
VAWHOA, some attorney-involvement is needed.
CC&Rs should be clear on what owners should pay for.
In Arizona, a contractor must be registered if their work is valued at
over $1,000.00. Licenses are obtained from the the Arizona Registrar of
Contractors.
All association documents are legally binding.
If movies are to be shown in a clubhouse, search the titles on Google
to see if licensing fees must be paid. Penalties for not licensing are
horrible, if caught.
XI. Unfinished Business.
Roof work: Chris Kinney has not delivered soffit material and has not
begun work on Buildings 2 and 6 as well as #3036.
The Maricopa County Inspection of the North pool will be scheduled.
XII. New Business.
The South pool light installation has not been finished.
Some people are going into the clubhouse after it is closed (anywhere
from 11:00 p.m. until 2:00 a.m.) and using flashlights until they can
unplug the cameras. Lights are seen in the library and pool hall.
Maniz will check on our pest control contract and any payment due for
termite protection.
XIII. For the Good of the Order.
HOA fees will be discussed in September.
XIV. Date of the next board meeting: August 8, 2023, 8:00 a.m. MST.
There will be no July Meeting. Maniz will be out of the office July 1-8,
2023. Del Schmidt will help in case of an emergency.
XV. Tentative meeting dates; August 8 ,2023, September 12, 2023, and
October 10, 2023.
XVI. February 20, 2024 – Annual Meeting 6:00 p.m. MST.
XVII. I was moved by Patton and seconded by Coughlin to adjourn the
meeting at 10:16 a.m. MST.
