Board Meeting Minutes
January 5, 2021
The meeting was called to order at 8:31 a.m. MST by Hayward.
- Proof of meeting notice acknowledged. Present: Hayward, Mills, Brown, Patton, Borgwardt, Maniz and Honeyman. Guests: #1004, Howells and #2040, Coughlin.
- It was moved by Borgwardt and seconded by Patton to approve the minutes of December 15, 2020. Motion passed.
- Owner Concern: Borgwardt will talk with David Gomez regarding lack of water to some plants in Phase 4.
- It was moved by Mills and seconded by Patton to approve the treasurer’s report. Motion passed. Our income went up and expenses went down for 2020. We have $275,000 in our reserve fund.
- Manager’s Report:
- Annual plants in the clubhouse planter need to be deadheaded, not replaced.
- While the HOA is not responsible to repair stress cracks in a living room ceiling vent by the stove in #29, the HOA will have a roof inspection done.
- Patton will check on the lack of approval for a new patio door at 1011.
- It was moved by Borgwardt and seconded by Patton to approve a new patio door at 1012 if it meets HOA requirements. ProWest is to begin the project in April 2021.
- It was moved by Mills and seconded by Brown to remove a tree at #52 whose roots have damaged a wall. Motion passed. HOA will remove, but not replace, the tree. The wall is the owner’s responsibility.
- Unfinished Business:
- Roofing: We are awaiting a decision from Traveler’s on a damage claim. If there is a settlement, we may be able to re-roof all of Phase 1 in 2021. If not, the project will be completed in multiple years.
- HOA roof dishes have been removed and re-installed in Phase 1. Private owners must move theirs before April.
- Maniz will get bids for painting Phase 2 and Phase 4 parging. Whether the project gets done this year depends on available monies.
- Western Exterminators have not provided the sites needing sealing to keep out termites.
- Repair equipment for the fitness center has not come.
- We have not received the requested reports on roof rats and termite traps.
- By prepaying, our yearly cost for HOA Management System was reduced to $1620.
- New Business:
- Chris Howells, chair of the nominating committee, which includes Pat Peck and Evelyn Arnot reported a slate of three owners for two positions on the board. The candidates are Sheryl Brown, Jean Mills and Jeff Coughlin.
- The owner materials for the annual meeting which will be held virtually will be sent out by January 14, 2021.
- For the good of the order:
- The review of the Rules and Regulations should be completed by March, 2021.
- It was moved by Mills and seconded by Borgwardt to rescind the
policy of requiring bikes to be registered. Motion passed.
- The date of the next board meeting is February 9, 2001 at 8:30 a.m. MST.
- The meeting adjourned at 10:15 a.m. MST.
