BOARD MEETING MINUTES

JUNE 11, 2024

 

  1. THE MEETING WAS CALLED TO ORDER AT 7:59 A.M. MST BY BORGWARDT.          THE BOARD WILL GO INTO EXECUTIVE SESSION FOLLOWING THIS MEETING. (AZ STATUTE 33-1248, PARTS 3 & 4)

 

  1. PROOF OF MEETING NOTICE WAS ACKNOWLEDGED. PRESENT: ROGER BORGWARDT, PRESIDENT, STEVE PATTON, VICE-PRESIDENT, JEAN MILLS, SECRETARY, SHERYL BROWN, TREASURER, JEFF COUGHLIN, DIRECTOR AT-LARGE, AND CHERI MANIZ, MANAGER.

 

  1. IT WAS MOVED BY BROWN AND SECONDED BY COUGHLIN TO APPROVE THE MINUTES OF MAY 14, 2024. MOTION PASSED.  

 

  1. IT WAS MOVED BY MILLS AND SECONDED BY PATTON TO APPROvE THE TREASURER’S REPORT. MOTION PASSED. OUR PLANNED CAPITAL RESERVE SPENDING IS ON TARGET. THERE IS $368,958.01 IN OUR CAPITAL RESERVE ACCOUNT.

 

  1. MANAGER’S REPORT.                                                                                               A. REPLACEMENT OF A BROKEN TEMPERED FRONT GLASS WINDOW IN UNIT B-2 WILL BE COMPLETED AS A SELF-HELP ISSUE BY THE HOA. THE COST WILL BE ASSESSED TO THE OWNER’S ACCOUNT.                                                                   B. ANY PHASE IV OWNER WHO CHOOSES TO PUT A LOCK ON THE UNIT’S EXTERNAL ELECTRICAL PANEL SHOULD HAVE A KEY IN THE UNIT FOR USE BY THE CARETAKER OR MANAGER IN CASE OF AN EMERGENCY.                                                                c. the rules and regulations adopted in 2019 need to be reviewed.     

 

  1. buildings.                                                                                                                      a. repairs to the flat roofs of buildings 2 and 4 will begin June 13, 2024, at a cost of $20,471.  the budgeted amount was $20,000. It was moved by coughlin and seconded by mills to approve an extra $471.00 for the roofing project. motion passed.                                                                           b. coughlin is working on a prevention maintenance plan for resealing the roofs so bigger problems don’t arise.                                        c. phase i roofs were inspected this year.                                                  d. coughlin, maniz and a Representative of westeren EXTEMINATORS WILL have a phone conference june 12, 2024, to discuss an adjustment to our bill because certain aGREED TO ITEMS WERE NOT DONE.

 

  1. LANDSCAPE.                                                                                                              A. PALM TREE PRUNING AND SKINNING WILL BE DONE IN JULY.                                 B. GREAT WESTERN WILL HANDLE ELECTRICAL ISSUES. STEVE REYNOLDS WILL HANDLE OTHER REPAIRS.

 

  1. COMMITTEE REPORT. OWNERS WILL HAVE NO NEW RESPONSIBILITIES AFTER A POSITIVE VOTE ON THE UPDATED CC&RS.

 

  1. UNFINISHED BUSINESS. NONE.

 

  1. NEW BUSINESS. NONE.

 

  1. FOR THE GOOD OF THE ORDER. NONE.

 

  1. THE NEXT THREE 2024 SCHEDULED BOARD MEETINGS WILL BE AUGUST 13, SEPTEMBER 10, AND OCTOBER 8. ALL MEETINGS ARE ON TUESDAY BEGINNING AT 8:00 A.M. MST.

 

  1. IT WAS MOVED BY PATTON AND SECONDED BY BROWN TO ADJOURN AT 8:56 A.M. MST.
